Position Title: Association Executive
Reports to: Board of Directors
Primary Function: Serves as Chief Staff Officer of the Association and Multiple Listing Service.
Position Summary:
Southwest Riverside County Association of REALTORS® is looking to fill the position of Association Executive. We are a non-profit organization that has been in business for over 40 years, located in Murrieta, CA. The AE is responsible for overseeing 15+ employees and 4 locations. The ideal candidate will provide a friendly, welcoming, and efficient service to all members and staff while aligning with the Association’s vision and values on customer service. Duties and Responsibilities:
Task/Programs
- Assures that the Board of Directors is kept fully informed on the conditions of the Association and all-important factors influencing it. Attends all meetings of the Board of Directors unless the AE is excused, is on vacation, or is absent due to illness or family emergency.
- Plans, formulates and recommends for the approval of the Board of Directors basic policies and programs which will further the objectives of the Association.
- Executes all decisions of the Board of Directors.
- Develops, for day-to-day administration, specific policies, hours of operation, procedures, and programs to implement the general guidelines established by the Board of Directors.
- Establishes a sound organizational structure for the headquarters and satellite office.
- Plans for the general administration of the entire Association operation. Though many responsibilities may be delegated to other Association staff members, the Association Executive should be aware of the progress of all Association projects.
- Unless otherwise designated by the Board of Directors, act as an authorized representative for the Association on all local governmental matters affecting the real estate industry.
- Directs and coordinates all approved programs, projects, and significant activities of the Association staff.
- Recruits, hires, indoctrinates, trains, and motivates Association staff personnel. Responsible for all promotions and terminations unless expressly directed by the Board of Directors as outlined in a written resolution adopted in accordance with California law.
- Obtains maximum utilization of staff personnel by clearly defining their duties, establishing performance standards, conducting performance reviews, and maintaining a competitive salary structure.
- Provides or delegates the necessary liaison and staff support to committee chairs and committees to enable them to perform their functions properly. Assures that committee decisions and recommendations are submitted to the Board of Directors for review and action.
- Executes such contracts and commitments as may be authorized by the Board of Directors or within the established policies of the Association.
- Promotes interest and active participation in the Association’s activities on the part of the membership and reports activities of the Association through the communications media of the Association.
- Maintains effective relationships with other organizations, both public and private, and sees that the positions of the Association and its members are enhanced in accordance with the policies and objectives of the Association.
- In conjunction with the Association’s Treasurer and its Finance Committee, prepares a preliminary annual budget and ensures all funds, physical assets, and other property of the Association are appropriately safeguarded and administered. Operates within the approved budget.
- Works with the Board of Directors to plan, coordinate and conduct a public relations program to enhance public acceptance of the industry.
- Serves as supervising editor of any official Association publication.
- Coordinates research on related projects, prepares reports, and publishes the results on subjects deemed necessary to the membership. When directed by the Board of Directors, assists with coordinating educational programs to advance the membership’s professional/technical/managerial skills, operating within the budget and program objectives approved by the Board of Directors.
- Plans, organizes, and directs membership promotion and retention programs, evaluates results, and recommends policies, procedures, and actions to achieve membership goals.
- Collects dues and controls the budget and all arrangements to meet financial objectives.
- Performs a secretarial function for the Association as the Association’s Assistant Secretary, maintains official minutes of the Board of Directors and other official meetings of the organization, and provides security for all files, legal and historical documents, membership, and mailing lists.
- Responsible for planning, promoting, and administrating all official meetings of the Association.
- Acts as a direct liaison with the State and National Associations in matters that Association staff can handle.
- Acts as liaison with other Associations whose interests are similar.
- Acts as a spokesman for the Association in the absence of, or when Officers or Directors of the Association are unavailable.
- Serves on State and National committees, if appointed, when such services benefit the Association.
- Carries out or delegates other general responsibilities as the President or the Board of Directors may be assigned.

- Leadership of the Association of REALTORS®, the California Association of REALTORS®, the National Association of REALTORS®, and its affiliated institutes, councils, and societies.
- Association Executives, Executive Officers, Executive Vice Presidents, Executive Officers, and elected leaders from other Associations within the state.
- Members of city councils, their staff, and appropriate government officials.
- Appropriate personnel at the State and National Associations.
- Staff at the Association office.
- Leadership of subordinate or allied group organizations, if any.

Qualifications:
- Bachelor’s degree or equivalent required.
- 5+ years’ experience in association management or closely related field. Experience in a REALTOR® Association preferred.
- Thorough understanding of management and financial practices in all areas and phases of business operations.
- Skilled in organizational development, people management, budget, and resource development.
- Superlative communication skills, particularly the ability to communicate as a leader.
- Excellent interpersonal skills.
- Flexibility and the ability to multitask.
